Recruitment Privacy Notice
This notice explains how ustwo collects, uses, and protects personal data during our recruitment process. We aim to be clear, respectful, and privacy first, and we follow applicable data protection laws, including the UK GDPR.
During recruitment, we collect and process the information we need to run a fair and effective hiring process. This typically includes contact details, CVs, portfolios or work samples, interview notes, and references. Where relevant, we may also need legal and administrative information such as right to work checks, and for some roles we may carry out background checks. We may collect diversity and inclusion information on an optional basis, and we aim to anonymise it where possible so it supports fairness without affecting outcomes.
We use this information to assess suitability for a role, manage interviews and offers, meet legal obligations, and keep our process consistent and equitable. We only process special category data, such as health or diversity information, where it is legally permitted and necessary.
Our lawful bases for processing depend on the situation. We may rely on legitimate interests to run recruitment responsibly, contractual necessity to take steps before entering into a contract, legal obligations for checks like right to work, and consent where required for specific optional information. If we rely on consent, it can be withdrawn at any time.
Most recruitment data comes directly from candidates. It may also come from third parties such as recruitment agencies, referees, or background check providers where relevant and appropriate.
Access to recruitment data is limited to people who need it to do their job, such as the People Team, hiring managers, and relevant colleagues involved in the process. Where we use trusted third parties, they only receive the minimum necessary information and they must meet our requirements under contract. Where required, data may be shared with other companies within the ustwo group.
If personal data is transferred outside the UK or the European Economic Area, we use recognised safeguards such as approved contractual protections. If you want more information about these safeguards, you can contact privacy@ustwo.com.
We keep recruitment data only for as long as necessary. If a candidate is hired, recruitment information is retained as part of employment records for a defined period. If a candidate is not hired, we typically retain recruitment data for one year from the decision date, unless a longer period is required or agreed for a specific reason.
Candidates have rights under data protection law, including the right to access data, correct inaccuracies, request deletion or restriction, object to certain processing, request portability where applicable, and withdraw consent where consent is the basis.
