Responsible Business Grievance Mechanism

Why we have this policy

At ustwo, accountability, care, and trust are at the heart of how we work. We believe everyone should feel able to raise a concern if something doesn't seem right.

This policy explains how anyone can report concerns about our business, our people, or the impact of our activities. Speaking up helps us learn, improve, and uphold the standards set out in our Code of Conduct.

This policy supports our commitment to respecting internationally recognised human rights and aligns with the UN Guiding Principles on Business and Human Rights.

We take every concern seriously and are committed to responding fairly, respectfully, and without retaliation.

Who can raise a concern?

Anyone can raise a concern about ustwo's activities or the behaviour of someone acting on our behalf.

This includes:

  • Employees
  • Freelancers, contractors, consultants, and interns
  • Job applicants
  • Clients
  • Suppliers and business partners
  • Members of the communities where we operate
  • Anyone else who may be affected by our business

You do not need to work for ustwo to raise a concern.

What can you raise a concern about?

You can raise any concern where you believe our actions, or the actions of someone representing ustwo, may not align with our values, Code of Conduct, policies, or legal responsibilities.

Examples include:

  • Harassment, bullying, discrimination, or retaliation
  • Human rights or labour rights concerns
  • Modern slavery or unethical working practices
  • Fraud, corruption, bribery, or conflicts of interest
  • Health, safety, or wellbeing concerns
  • Environmental impacts
  • Breaches of our policies or applicable laws
  • Any behaviour that feels unsafe, unethical, or inconsistent with our values

If you're unsure whether something should be reported, we encourage you to get in touch.

How to raise a concern

You can raise a concern by emailing: people@ustwo.com

If you work at ustwo, you can also speak with your manager, People Partner, or another trusted leader.

Where permitted by local law, you may raise a concern anonymously. While anonymous reports can sometimes make investigations more difficult, we will review them with the same care as any other concern.

If you need this policy in another format or require support to raise a concern, please let us know. We will make reasonable adjustments wherever possible.

What happens next?

When we receive a concern, we aim to acknowledge it within five working days.

We will then:

  • review the information provided;
  • assess whether further investigation is needed;
  • investigate fairly, impartially, and, where appropriate, independently;
  • take appropriate action to address the concern and, where possible, remedy any harm and help prevent similar issues from happening again; and
  • communicate the outcome where possible, while respecting privacy and confidentiality.

Every concern is considered on its own merits and handled in accordance with applicable laws and our internal policies.

Confidentiality and protection

We aim to handle all concerns confidentially and will only share information where necessary to investigate the matter or meet our legal obligations.

We do not tolerate retaliation against anyone who raises a concern honestly and in good faith or who participates in an investigation. Any form of retaliation will be treated seriously and may result in disciplinary action.

Learning and improvement

We recognise that listening to concerns and responding appropriately is an important part of being a responsible business. Every concern gives us an opportunity to learn, improve, and strengthen the trust that people place in us.

Where appropriate, we review trends and themes from concerns raised to identify opportunities to improve our policies, practices, and ways of working.

Review

This policy is reviewed annually to ensure it remains effective, reflects evolving legislation and best practice, and continues to support our commitment to operating responsibly.
